Brookwood Executive Business Partner 6 Month Contract Inside I35 Hybrid – Manchester
Key Responsibilities
Be a trusted advisor on individual and team dynamics.
Partner directly with VP and Sr Director to prioritise their activities based on the business priorities.
Create, maintain & influence relationships with both internal and external stakeholders to support business activities.
Full ownership of both VP’s & Senior Directors calendar. Clear alignment on the business priorities, interdependencies and needs of directors and the business.
In partnership with PMOs, FP&A, Internal communications and other relevant stakeholders, build the department cadence, own the agenda and plan forecasts on behalf of the VP. Partners with PMO/Strategy Delivery team to continuously improve design and governance of BU & Eng Leadership Team cadence.
Coordinate and actively facilitate Engineering LT Meetings, own actions taking and follow ups.
Inbox management: organizing inbox, replying to emails, picking up tasks from their email. You speak the same language as the VP & Senior Director and are able to prepare and/or send out emails on their behalf to internal and external stakeholders.
Manage, own & initiate the onboarding process on behalf of the two directors. Prepare all-onboarding documentation and schedule as well as overseeing all technical and operational aspects of the onboarding.
Fully responsible for all tasks that are designed for delegation. (Workday, concur, Ivalua,etc ) as well as raisingPOs/adding vendors & follow up as and when needed.
Be aware & adhere to budget policies.
Oversee the planning of business travel needs for both VP & Director & teams (eg logistics and visas, including coordinating itineraries across multiple stakeholders and gathering/developing/collating preparation materials for meetings/presentations.)
Support with the hiring process by conducting interviews for the craft
Facilitate process for signatures for VP
Project management & Communications
Identify areas of improvements within the business and work with PMs to project manage the change.
Upon request of the VP, review and advise on language, communication channel, and overall content of outgoing communications.
Assist in end to end planning of leadership meetings and events. This can include but is not limited to offsites, all-hands, Q&A’s and working sessions.
Partners with IC in planning, prioritising and executing communication initiatives. Facilitates a strong connection between IC and the respective leader/department, allowing them to understand short-term and long-term opportunities for communications.
Acts as your leader’s eyes and ears, identifying areas of concern or good opportunities to utilise internal comms.
Collaborate with the IC team in planning and execution of global initiatives. This can include but is not limited to scheduling, identifying/inviting attendees, logistical planning and support on the day
Required Skills
5-8 years proven experience eg administration/operational/business support/executive assistant, preferably in large/multinational organization.
Creative and out of the box’ thinking in order to proactively drive business.
People oriented; positive relationship and stakeholder management skills, and able to engage with people across all levels, and from a diverse set of backgrounds.
You seek to understand before you act. You take the time to check both the what and why in ambiguous situations.
Commercially aware and results-driven with an independent and proactive attitude
Highly organised with excellent planning skills. You take ownership and proactively solve problems, often before it reaches your S(VP).
Exhibit a strong attention to detail, ability to adapt to daily schedules and routines, and focus on efficiency without sacrificing quality.
Excellent communication. Fluent in English, verbal and written (additional language(s) an advantage but not required).
Comfortable with ambiguity and able to prioritise and make decisions without having all the information
Strong ethics and can handle confidential matters with discretion.
Be an active member of the Leadership Support community, both across departments and within your own department
Available to offer support outside of normal business hours, or travel, as required
Excellent with G suite, including Google Calendar, Google Sheets/Slides (or similar).
