Executive Assistant – £45K to £55K (DOE) – City of London – Hybrid

Responsibilities:

• Calendar Management: Efficiently manage the executives’ calendars, including scheduling meetings, appointments, and travel arrangements.
• Communication: Serve as the primary point of contact for internal and external stakeholders, screening and prioritizing incoming communications.
• Administrative Support: Provide administrative support to the executive team, including drafting correspondence, preparing presentations, and managing documentation.
• Meeting Coordination: Organize and coordinate meetings, conferences, and events, ensuring all logistics are arranged and attendees are informed.
• Travel Arrangements: Arrange travel accommodations, itineraries, and logistics for domestic and international trips.
• Expense Management: Process expense reports and reimbursements in a timely and accurate manner.
• Information Management: Maintain confidential files, records, and databases, ensuring information is organized and easily accessible.
• Project Support: Assist with special projects and initiatives as assigned by the executive team, providing research, analysis, and administrative support as needed.
• Team Collaboration: Collaborate effectively with other administrative staff and team members to support overall departmental goals and objectives.

About you:

• Proven experience as an Executive Assistant or similar role, preferably in a fast-paced corporate environment.
• Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
• Strong communication skills, both written and verbal, with the ability to interact confidently with individuals at all levels.
• Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
• Discretion and confidentiality in handling sensitive information and communications.
