My client is currently looking for a Operations/ Admin Assistant to work with them full time from home or in there London office.
Responsibilities:
1. Office Management:
Oversee day-to-day office operations, ensuring a clean, organized, and efficient work environment.
Manage office supplies and equipment, including ordering and restocking as needed.
2. Administrative Support:
Provide administrative support to executives and team members.
Manage calendars, schedule meetings, and coordinate travel arrangements.
Prepare and organize documents, reports, and presentations.
3. Communication:
Serve as a primary point of contact for internal and external communications.
Respond to inquiries, both in person and over the phone, in a professional and timely manner.
Manage and distribute incoming mail and emails.
4. Record Keeping:
Maintain accurate and up-to-date records, databases, and filing systems.
Assist in record-keeping related to employee attendance, benefits, and other HR-related matters.
5. Event Coordination:
Assist in planning and coordinating company events, meetings, and conferences.
Arrange logistics, catering, and any other necessary arrangements.
6. Financial Administration:
Assist in basic financial tasks, such as processing invoices, expense reports, and reconciling receipts.
Work closely with the finance department to ensure accurate record-keeping.
7. Team Collaboration:
Collaborate with different departments to facilitate smooth communication and operations.
Support team members with administrative tasks as needed.
8. Requirements:
Proven experience as an administrator or in a similar role.
Strong organizational and multitasking skills.
Excellent communication and interpersonal abilities.
Proficient in MS Office and other relevant software.
Attention to detail and problem-solving skills.
Ability to handle confidential information with discretion.
Knowledge of basic financial processes is a plus.
Experience/ Skills:
2 years previous experience in administrative or personal assistant roles is required.
