Position Overview:

The Global and Regional Hospitality team optimizes Visa’s Global Sponsorship properties to deepen partnerships, drive Visa business and to be recognized as an industry leader for the future of payments. We do this by developing unique, meaningful and relevant business to business and business to consumer guest experiences, naturally integrating Visa payment technology into those experiences, thus creating a personal and emotional interaction with our brand and products.

This position supports the business operations of the European B2B activations (client hosting) for the Paris 2024 Olympic & Paralympic Games. This position focuses on the asset allocation, invite and registration process of Olympic and Paralympic trip packages and tickets that are utilized to host Visa’s clients onsite during the games. You will work closely with each of the five European hubs, the office of the European CEO, regional and global compliance as well as the Global Hospitality team to ensure all assets are utilized according to Visa’s policies and procedures.

The position is based in London and will report to the Head of Executive Engagement with a secondary reporting to the Global Director of Sponsorship Operations (Laura Kostermans).

Primary Job Responsibilities:

• Manage the overall asset allocation of trip packages that will be utilized by the European team for client hosting
• Allocate and track 300+ trip packages to each of the European hubs based upon business need
  • Work with each European hub on their needs and allocate packages accordingly
  • Management and tracking of Visa hosts associated with hosting clients
  • Maintain master and provide updates to Global Hospitality team on a regular basis via the Nominations tool
  • Act as primary liaison with Global Hospitality team for the market level packages
• Collate and manage the master client invite list, complete spreadsheets for compliance vetting according to Visa’s policies and procedures
• Assist hubs by providing guidance on process for inviting based upon how packages will be funded
  • Consult with Regional Compliance and Controllership and hub teams to review client contracts based upon how packages will be funded to understand what guidelines or additional processes may be required for hosting
  • Consult with Global Hospitality regarding questions about the process and guidance document
• Lead the process for Europe utilizing Visa’s nomination tool for client invite and vetting
  • Database management-gathering and entering all client information into tool
  • send transparency letters or contracts to hubs leads for client invitations
  • Track responses and add to the Nominations tool
• Manage the registration of clients for the program, using Visa’s Event Management tool
  • Track registration and assist with follow-ups for any missing information or logistics questions
  • Manage client special requests with the hub leads
  • Assist with Visa host or client travel-ensure it’s booked and registered in the tool
• Executive business meeting management
  • Work with hubs to determine number of business meetings based upon package allocation
  • Manage the overall content; format of meetings
  • Work with Global Hospitality team to determine onsite needs (venue, AV) and other operations for onsite execution
• Manage the ticket assets that may be used to host clients working in close collaboration with European Sponsorship team
• Produce executive summaries as necessary for executive leadership and approval
  • Excellent detailed oriented project management skills are essential
  • Database Management; utilization of numerous online tools
  • Excellent communication and interpersonal skills
  • Logistics and operational management of large-scale hospitality and experiential events from c-level to consumer/general public.
  • Ability to manage multiple work streams simultaneously.
  • Able to work independently as well as within a team, think quickly, and problem-solve calmly.
  • Ability to work with a sense of urgency and deliver under tight deadlines/timeframes; prioritize workload.
  • Flexible and can adapt to fast changing environments.
  • Willingness to have flexible working hours; requires frequent collaboration with Visa HQ located in Foster City, CA.
  • MS office, proficiency in Excel, Word and PowerPoint.
